Subject: Second IVS General Meeting - Last Informations from the LOC The Second IVS General Meeting at Tsukuba is only a few days away. This message is being sent to the registered participants of the meeting to inform various information about the meeting. We hope everybody will have a safe and pleasant trip to Tsukuba. --- 1. Reception On Sunday, February 3, the reception desk will open from 5:00 PM in front of the Room 102 of the Tsukuba International Congress Center (Epocal Tsukuba). The pre-registered participants will receive a name badge and meeting materials at the desk. All the expenses to participate the meeting events are covered by the registration fee except for the ticket for the excursion tour on Thursday, February 7. Please pay 2,000 yen at the desk if you have booked the excursion tour. The fee will cover the lunch and refreshments during the tour. Limited number of seats are still available for the excursion tour. If you wish to participate in the excursion tour and have not booked at the time of on-line registration, please ask LOC members at the reception desk whether the tickets are still available. The reception desk will close at 8:00 PM on Sunday and will open again from 9:00 AM on Monday, February 4. The reception ceremony (ice breaker) will be held from 6:00 PM to 8:00 PM on Sunday, February 3 at the room 102. Drinks and foods will be served. All registered participants including the accompanying person are cordially invited to the ceremony. 3. Opening Ceremony The opening ceremony will be held from 9:40 AM to 10:00 AM on Monday, February 4 at the room 202. Two representatives from each of the hosting institutions (GSI/Ministry of Lands, Infrastructure, and Transport, and CRL) will present welcome speeches at the opening ceremony. The LOC kindly ask all the registered participants to attend the opening ceremony. The first scientific session will start at 10:10 AM after a short break of 10 minutes. 4. Poster Presentations The size of the poster board is 210cm (82.7in.) high and 90cm (35.4in.) wide. Push pins and tapes will be provided. The room (room 201) will open from 8:00 AM on Monday, February 4. Please display your posters before 1:30 PM on the same day. A core-time for the poster session is scheduled from 6:30 PM to 9:00 PM on Monday, February 4. Authors of the posters have to stay near their posters during the core-time. Please leave the posters on the boards until 12:00 on Wednesday, February 6, then remove them between 12:00 and 5:00 PM on Wednesday, February 6. LOC will remove all posters after 5:00 PM on Wednesday, February 6. 5. Oral Presentations. Two over-head-projectors and one PC projector will be available. The PC projector and one over-head-projector will share a screen while another over-head-projector will use the second screen. To use the PC projector, please bring notebook PC with a D-SUB 15pin monitor connecter or your presentation file on a CD-ROM or a floppy disk. A PC (Windows XP Professional) with a Microsoft PowerPoint 2000 and Adobe Acrobat 5.0 softwares will be available to read and display your presentation files. If you have any other needs, please consult with LOC. 6. Credit Cards and Traveler's Checks Visa and Master Cards are accepted at major hotels, stores, and restaurants. ATM is also available near the Congress Center. On the other hands, traveler's checks are not usually accepted except for urban banks and are not recommended. 7. Weather Conditions (2000-02-15) Typical temperature of this season at Tsukuba is between 5 degree C and 15 degree C. It seldom snows at Tsukuba, and it tends to be very fine. 8. e-mail and Network Connections A few PCs will be available for participants to check their e-mails or to use Internet at the room 201 from Monday, February 4 through Wednesday, February 6. A few 10 Base-T ports will also be available so that participants can connect their PCs to the Internet. Please note these services will not be available on Thursday and Friday, February 7-8. 9. Bus Reservations from Tsukuba to the Narita Airport Buses are the most convenient to get Narita Airport from Tsukuba. Reservations are not required from the Narita Airport to Tsukuba, but the reservations are required for the return trip. The reservations will be handled at the reception desk on Monday (12:00 to 6:00 PM), Tuesday (9:00 AM to 6:00 PM), and on Wednesday (9:00 AM to 12:00). 10.
